Project Overview

Horsham City Council has partnered with DIB Audio Visual since 2018, initially simplifying their meeting room systems to improve microphone coverage, streamline control, and enable easier streaming and room connectivity.

As reliance on Microsoft Teams increased, the Council modernised its most flexible spaces—rooms that open into a larger chamber used for formal council meetings, community forums, internal meetings, and hybrid events. The objectives were to deliver one-touch Teams functionality, achieve clear room-wide audio without table microphones, and support presentations and remote participation.

The upgrade required integrating new technology with existing infrastructure while maintaining seamless room combining. Meeting Room 1, which functions as the main council chamber, includes multiple wireless microphones, ceiling audio capture, and rear-facing cameras to support councillors and the public gallery. The design prioritised simplicity so staff can walk in, start a meeting, and trust the system to perform.

The solution incorporates robust, well-established technologies selected for reliability and local support. Meeting Room 3 features Epson ultra-short-throw projectors in a dual-projector configuration to maintain visibility when rooms are combined. Kramer matrix switchers and processors manage audio and video routing, allowing existing and new equipment to operate seamlessly. Logitech PTZ cameras positioned at the front and rear integrate with Logitech TAP for a streamlined Microsoft Teams experience.

Audio is delivered through Sennheiser TeamConnect Ceiling 2 microphones, ensuring consistent speech pickup across flexible layouts without tabletop devices. An Extron Pro Touch Panel centralises control for room combining, source selection, and meeting management. Meeting Room 2’s existing display panel was retained to maximise efficiency.

The outcome is a streamlined, intuitive AV environment that supports Horsham City Council in delivering in-person, hybrid, and community-focused events with greater flexibility and confidence—now and into the future.
